Managing a warranty services business and its clients — without the overhead

MC Warranty Services provide building warranty products for the residential new-build market. Their operation involves managing applications from initial enquiry through inspections, underwriting, sign-off and certificate issue — with multiple client touchpoints at each stage.

Before the Cirrus system, managing client communication was labour-intensive. Clients had no way to check the status of their application without contacting the MC Warranty team directly. The team spent significant time responding to inbound enquiries that a well-built portal would answer automatically.

The back-office operation — application tracking, inspection scheduling, document management and certificate issue — was managed across multiple tools with no single source of truth.

Cirrus built two connected systems: a comprehensive back-office management platform for the MC Warranty team, and a secure client-facing portal giving warranty applicants real-time visibility of their application status.

  • Document upload and managementClients upload required documents directly through the portal. Files are automatically routed to the correct application record and flagged to the relevant team member for review.
  • Automated client notificationsClients are automatically notified at each key stage — application received, inspection booked, documents reviewed, certificate issued. Inbound enquiries asking for status updates are significantly reduced.
  • Inspection scheduling and managementThe MC Warranty team can schedule and manage inspections directly within the system — with automatic notifications to clients confirming inspection dates and any preparation required.
  • Certificate generation and deliveryCompleted warranty certificates generated and made available to clients through the portal — correctly formatted, accurately populated and permanently accessible without having to request them from the team.
